How cabin allocation works

Step 1: Cottermouth allocates your cabins

30 days before arrival, Cottermouth receives your final guest numbers. Allocations are then based on your confirmed guest numbers, gender splits, staff requirements, accessibility needs and other groups staying onsite. 

Cottermouth will confirm which cabins have been allocated to your group and how many guests should be accommodated in each cabin.

Step 2: Your GROUP Assigns guests to cabins

Once Cottermouth has confirmed which cabins are available for your use, your group decides which participants will stay in each cabin.

You may provide one total for each cabin or divide guests between the individual rooms within each cabin.

Guest names are not required.

Step 3: FINALISing YOUR ROOMING allocation

Your final rooming arrangements are confirmed with the Cottermouth team during your pre-arrival meeting. For the meeting, please have ready for us:

  • How many guests in each cabin
  • Any room-by-room requirements
  • Staff and coach driver requirements
  • Accessibility, single-occupancy, medical or other important requirements

Example 1: One total

If you do not need guests separated into particular rooms, simply provide the total number of guests staying in each allocated cabin.

Cabin 1: 10 guests
Cabin 5: 8 guests
Cabin 9A: 2 guests

Cottermouth will prepare the required number of beds within each cabin.

Example 2: room by Room

Cabins 1 to 8 contain three sleeping areas. If you would like guests arranged in particular rooms, please provide the number of guests per room.

List the numbers in this order: Main Room, Room 1, Room 2

Cabin 1: 5, 2, 2

This means five guests in the Main Room, two guests in Room 1 and two guests in Room 2, for a total of nine guests.

Please contact Cottermouth before changing your cabin allocation. We may need to adjust the cabins provided to suit your updated guest numbers or accommodation requirements.

CABIN TYPES AND LAYOUTS

Cottermouth has several cabin types with different capacities and room configurations. Use the information below to understand the cabins allocated to your group and how guests can be arranged within them.

Heating and Cooling

Every cabin has reverse-cycle heating and cooling, helping guests stay comfortable throughout the year. Controls are located inside each cabin for easy adjustment during your stay.

Every cabin has private bathroom facilities for its occupants. Cabins 1 to 5 and Cabin 8 have separate toilet, vanity and shower rooms. The accessible bathrooms in Cabins 6 and 7 are combined, as are the bathrooms in Cabins 9A to 9F.

Beds and Linen Packs

Every bed is prepared with a fitted sheet, whether or not a linen pack is requested. Linen packs are available for hire prior to arrival and include a doona, fitted sheet, top sheet, pillow, pillowcase and towel. Extra blankets are available for the cooler months.

Separate Vanity, Toilet and Shower

Cabins 1, 3 and 8

Cabins 1, 3 and 8 share the same layout. Each cabin accommodates a maximum of 14 guests across three sleeping areas, with separate shower and toilet facilities within each cabin.

Cabins 2, 4 and 5

Cabins 2, 4 and 5 share the same layout. Each cabin accommodates a maximum of 12 guests across three sleeping areas, with separate shower and toilet facilities within each cabin.

Kitchenette access

These cabins contain kitchenettes – they are not available for guest use unless prior arrangements have been made with Cottermouth. All kitchen appliances are switched off at the mains and kitchenette items are removed or secured prior to arrival.

Accessible Bathroom

Accessible Cabins 6 and 7

Cabins 6 and 7 are Cottermouth’s accessible cabins. Each cabin can accommodate up to 12 guests across three sleeping areas. The accessible shower, toilet and vanity are located in one bathroom.

Accessible configuration

The Main Room ordinarily contains three bunks, providing six beds. When required for accessibility, the room may be reconfigured with two bunks and one single bed. Please discuss accessibility requirements with Cottermouth before finalising your rooming arrangements.

Block 9

Block 9 contains six smaller, self-contained cabins. These cabins are commonly used for staff, group leaders, coach drivers or smaller guest groups.

Each Block 9 cabin contains one sleeping area and its own bathroom, with a toilet, shower and vanity.

Maximum capacity: 4 guests per cabin

Cabin 9D

Maximum capacity: 4 guests

Cabins 9E & 9F

Maximum capacity: 1 guest per cabin

  • One sleeping area
  • One king single bed
  • TV and bar fridge
  • Private bathroom

Occupancy Requirements and Surcharges

Cottermouth allocates cabins to accommodate each group’s requirements – not all cabins are available for every group. In some circumstances, a surcharge may apply for single occupancy or additional cabins.

A minimum of 50% occupancy is required for each cabin, as listed below.

  • A minimum of 7 guests in a 14-bed cabin
  • A minimum of 6 guests in a 12-bed cabin
  • A minimum of 2 guests in a 4-bed cabin
  • Cabins 9E and 9F will attract a single occupancy surcharge (coach drivers excluded).

A surcharge may apply if your group requests an additional cabin, single occupancy or uses a cabin below its minimum occupancy. 

Cottermouth may adjust cabin allocations

Cabin allocations are based on your group’s confirmed numbers, requirements and other groups onsite at the time of your stay. If your numbers, gender groups, staff requirements or accessibility needs change, we may need to adjust the cabins allocated to you.

Please contact Cottermouth before adding, removing or changing any cabin on your rooming list.

Frequently Asked Questions

Does our booking include every cabin?

No. Your booking includes only the cabins specifically allocated to your group by Cottermouth.

Other cabins may be allocated to another group, unavailable or simply not required for your booking. Please only include your allocated cabins on your rooming list.

Can we choose which cabins we use?

Cottermouth determines which cabins are allocated to your group based on your confirmed numbers, gender groups, staff accommodation, accessibility needs and other relevant requirements.

Once the allocation has been confirmed, your group can decide which participants stay in each allocated cabin and bedroom.

Can we request particular cabins?

You are welcome to inform us of any preferences or particular accommodation requirements. We will consider these when preparing your allocation, but specific cabins cannot always be guaranteed.

Do we need to provide guests’ names?

No. We generally only need the number of guests staying in each cabin or room.

Your group should still keep its own participant and emergency records.

What is the pre-arrival meeting?

The pre-arrival meeting is a short meeting with a member of the Cottermouth team prior to your stay to ensure everything is organised and ready for your group’s arrival.


The meeting is generally held approximately 1–2 weeks before your arrival and can takes place via an online meeting. A member of the Cottermouth team will contact your nominated Group Leader to arrange a suitable time.


During the meeting, we will confirm final guest numbers, accommodation and room allocations, catering, activities, arrival and departure times, accessibility or special requirements, and any other important details relating to your booking.


It is also a great opportunity to ask any final questions and ensure both your Group Leader and the Cottermouth team are clear on the arrangements for your stay.


Our aim is to have everything sorted before you arrive, so your group can settle in and enjoy Cottermouth from the moment you get here.

Can we leave beds empty?

Yes. You do not need to fill every bed in an allocated cabin, provided the cabin meets the applicable minimum occupancy requirement.

A surcharge may apply if a cabin is used below 50% capacity or if additional cabins are requested.

Can adults stay with youth guests?

If a group chooses to accommodate adult guests and youth members within the same cabin, this arrangement is made at the group’s own discretion and responsibility. The Group Leader must provide written confirmation to Cottermouth prior to arrival acknowledging the proposed sleeping arrangements and confirming that the group accepts full responsibility for ensuring appropriate supervision, safeguarding and compliance with their organisation’s relevant policies and requirements.

This requirement does not apply to family groups sharing cabin accommodation.

Are there accessible cabins?

Cabins 6 and 7 are Cottermouth’s accessible cabins and include combined accessible bathroom facilities.

The bed configuration can also be adjusted when required. Please discuss your group’s accessibility needs with Cottermouth before finalising your rooming arrangements.

Can we use the kitchenettes in Cabins 2, 4 and 5?

The kitchenettes are not available for guest use unless this has been arranged with Cottermouth in advance.

Where do coach drivers stay?

Coach drivers are normally accommodated in Cabins 9E and 9F, which each contain one king single bed and a private bathroom.

Their accommodation will be confirmed as part of the cabin allocation provided by Cottermouth. Coach drivers are exempt from the single-room surcharge.

What if our guest numbers change?

Please contact Cottermouth as soon as possible if your numbers or accommodation requirements change. Changes made within 30 days of arrival cannot be guaranteed.

We may need to revise your cabin allocation, bed preparation or linen arrangements. Please do not add or remove cabins from your rooming list without checking with us first.

When do we confirm our rooming arrangements?

Final guest numbers are required at least 30 days before your arrival.

Once Cottermouth receives your final numbers and accommodation requirements, we will prepare and confirm your cabin allocation. Your group can then decide how guests will be arranged within those allocated cabins and bedrooms.

The detailed rooming arrangements are finalised during your pre-arrival meeting.

What is included in a linen pack?

Linen packs include a doona, fitted sheet, top sheet, pillow, pillowcase and towel.

Every bed has a fitted sheet, whether or not a linen pack is purchased.

Do Cottermouth staff hold Working with Vulnerable People registrations?

Yes. Scouts ACT has strict safeguarding requirements in place for personnel working at Cottermouth.

Staff members are required to hold a current Working with Vulnerable People (WWVP) registration where required for their role, in accordance with Scouts ACT policies and applicable ACT requirements.

Scouts ACT takes the safety and wellbeing of children and young people seriously, with safeguarding policies and procedures applying across Cottermouth operations.

Do the cabin rooms have keys?

Yes. All Cottermouth cabins can be locked; however, individual keys are not routinely issued for each cabin.

If your group requires cabin keys for designated staff members or Group Leaders during your stay, please arrange this with the Cottermouth team prior to arrival so we can have the required keys ready for you.

What is the cabin checkout procedure?

Before departing, we ask that each cabin:

  • Strips all beds.
  • Creates two separate piles:
    • Doonas and pillows.
    • Sheets, pillowcases and towels.
  • Sweeps the cabin floor.
  • Turns off all lights and air conditioning/heating before leaving.
  • Any keys issued to your group are returned to the Cottermouth team
  • Rubbish is placed in the designated bins.

A member of the Cottermouth team will complete a final check of the cabins with the group leader before departure.
